You must not transmit any worms or viruses or any code of a destructive nature. A breach or violation of any of the Terms will result in an immediate termination of your Services.

SECTION 2 - GENERAL CONDITIONS We reserve the right to refuse service to anyone for any reason at any time. You understand that your content (not including credit card information), may be transferred unencrypted and involve (a) transmissions over various networks; and (b) changes to conform and adapt to technical requirements of connecting networks or devices. Credit card information is always encrypted during transfer over networks. The headings used in this agreement are included for convenience only and will not limit or otherwise affect these Terms.

SECTION 3 - PRESERVATION PROCESS AND LIMITATIONS: (a) Perishability of Flowers:
Fresh flowers are highly perishable and may develop mold or deterioration quickly. By default, leftover flowers, stems, or plant material are not returned. (b) Requests for Leftovers:
Clients wishing to retain specific flowers or stems must notify us before the preservation process begins. An additional handling fee will apply, starting at $45 per standard-sized bouquet. Due to their fragile nature, leftover flowers and stems cannot be shipped and must be collected in person within 30 days of notification. Materials not collected within this timeframe may be discarded. (c) Optional Additional Preservation: Clients may request leftover flowers be pressed and preserved separately. An additional preservation fee will apply, based on the quantity of flowers and scope of the project. A quote will be provided upon request. (d) Scope of Preservation: We are only responsible for preserving flowers. Any other items included in the bouquet, such as vegetables, berries, or decorative accessories, will not be preserved. We are also not responsible for storing any items or materials on behalf of clients, including accessories that accompany a bouquet unless you’ve purchased the add-on. (e) Design Revisions & Artistic Discretion: While we aim to incorporate client feedback, some revision requests may not be feasible due to the limitations of floral preservation and design. We reserve the right, at our sole discretion, to determine whether a project can reasonably continue. If a project cannot reasonably continue, we may either proceed with the design at our artistic discretion or discontinue the project. No refunds will be issued in such cases. (f) Color, Quality & Shipping Disclaimer: The natural color, texture, and quality of flowers may change during the preservation process, including but not limited to fading, darkening, or alterations in shape. We cannot guarantee that the final piece will exactly replicate the original bouquet. By proceeding, you acknowledge that the final design is an artistic interpretation and may not fully match the original arrangement. (g) Shipping & Transit: PlantBox carefully packages and ships all items, and all shipments are covered under our shipping insurance. In the unlikely event that an item is lost or damaged during transit, PlantBox’s liability is limited to the coverage provided by the shipping insurance.  Customers are responsible for cooperating fully with the carrier’s investigation and providing all requested evidence in a timely manner to facilitate any claims.

SECTION 4 - ACCURACY, COMPLETENESS AND TIMELINESS OF INFORMATION We are not responsible if information made available on this site is not accurate, complete or current. The material on this site is provided for general information only and should not be relied upon or used as the sole basis for making decisions without consulting primary, more accurate, more complete or more timely sources of information. Any reliance on the material on this site is at your own risk. This site may contain certain historical information. You agree that it is your responsibility to monitor changes to our site.

SECTION 5 - MODIFICATIONS TO THE SERVICE AND PRICES Prices for our products are subject to change without notice. We reserve the right at any time to modify or discontinue the Service (or any part or content thereof) without notice at any time. We shall not be liable to you or to any third-party for any modification, price change, suspension or discontinuance of the Service.

SECTION 6 – PRODUCTS & SERVICES OVERVIEW PlantBox offers both custom, made-to-order services and pre-made retail products.
By placing an order, you acknowledge that different policies apply depending on the nature of the product or service purchased.

This section is further divided into:

  • Section 6A – Custom Services & Service Agreement
  • Section 6B – Pre-Made Products

SECTION 6A – Custom Services & Service Agreement

By placing an order with PlantBox, you acknowledge and agree to this Service Agreement, the Refund & Cancellation Policy, and the Terms & Conditions. Due to the custom nature of our services, all sales are final once production or preparation has begun. PlantBox reserves the right to update policies at any time. The version in effect at checkout applies to each order.

Payment is for services rendered, not for guaranteed satisfaction or a guaranteed physical outcome.

Communication & Recordkeeping

All project-related communication must be conducted via email.

  • PlantBox typically responds to written emails within 72 business hours
  • Phone calls, in-person conversations, social media messages, or third-party communications are not considered valid records
  • Only written email communication may be used as official documentation in the event of a dispute, escalation, or chargeback

Customers are responsible for ensuring that plantbox.ca@gmail.com is whitelisted and able to receive emails.

Definition of Custom Services

A custom service includes any order that:

  • Requires working with an object provided by the customer (including bouquets, flowers, or botanical materials), or
  • Is offered based on a customer’s specific request (including flower replication services)
  • Custom services are created specifically for each customer and cannot be resold.

Production Start

For bouquet preservation and related services, production begins only after the bouquet has been dropped off on the scheduled drop-off date.

Once production begins, the project is considered in progress and is non-cancellable and non-refundable, except as explicitly stated in the Refund & Cancellation Policy.

Scope of Services Rendered vs. Final Product

Payment covers professional services rendered, which may include some or all of the following stages:

Phase 1 – Intake & Communication

  • Email confirmation of drop-off details
  • Email correspondence addressing customer questions and requests
  • Intake, documentation, and handling of customer-provided materials

Phase 2 – Preservation & Design

  • Physical drying and pressing of flowers
  • Design planning using preserved materials
  • Creation and delivery of a rough design draft via email
  • One round of revisions, as outlined in PlantBox’s published revision process

Phase 3 – Finalization

  • Finalizing the approved design
  • Securing and gluing preserved flowers into the selected frame

Final Product

The finished framed piece delivered via shipping or pickup is the final product.
The absence of a final product due to project termination does not negate services already rendered.

Project Timelines (Estimates Only)

Project timelines provided on the website or via email are estimates, not guarantees.

  • Design drafts are typically emailed within approximately 5 weeks after bouquet drop-off
  • After design approval, finalization typically takes 1–2 additional weeks
  • Delays may occur due to holidays, order volume, or unforeseen circumstances

PlantBox is not liable for delays outside its reasonable control.

Bouquet Drop-Off & Intake Conditions

Bouquet drop-off:

  • Occurs at a designated location during weekday business hours (11am–5pm)
  • Does not include on-site inspection, assessment, or consultation
  • Does not guarantee acceptance or preservation of all materials

All consultations and change requests must be completed via email before production begins.

PlantBox does not provide proactive status updates prior to the design draft stage.

Customer Responsibilities for Flower Condition

Customers are responsible for:

  • Inspecting flowers prior to drop-off
  • Ensuring flowers are free from pests, mold, shedding, or severe deterioration
  • Providing additional flowers if original materials are compromised at intake

PlantBox is not responsible for:

  • Inability to preserve flowers due to condition
  • Accepting additional materials after drop-off or after production has begun

Possession & Non-Return of Materials

By dropping off or shipping materials, the customer grants PlantBox full possession of all botanical materials and accompanying items.

  • Flowers, stems, organic matter, and accompanying accessories are not returned
  • Leftover materials are not returned by default
  • PlantBox is not responsible for loss of accessories (vases, ribbons, pins, etc.)

Requests for return of items must be submitted at least 3 days before the scheduled drop-off date and may be subject to storage and shipping fees.

Documentation of Original Condition

PlantBox will photograph customer-provided materials at intake.

  • This photo becomes the sole reference point for preservation and design discussions
  • Customer-provided photos taken before drop-off will not be used to assess condition

This prevents discrepancies caused by deterioration during transport or handling.

Preservation Limitations & Design Ratios

PlantBox preserves materials based on:

  1. The selected frame size and product
  2. The ratio of flowers and foliage present in the original materials
  3. The physical feasibility of preserving specific botanical matter

PlantBox may decline to preserve materials that:

  • Are deteriorated or compromised
  • Are not suitable for pressing or preservation (e.g., thick stems, succulents, berries, vegetables, decorative objects)

Customers should not expect:

  • Every material to be preserved
  • Free reallocation or redesign of flower ratios

Artistic Interpretation & Natural Variations

Preserved flowers may change in color, texture, and shape.

  • Fading, darkening, and distortion are inherent to the process
  • Exact replication of the original bouquet is not guaranteed
  • Final designs are artistic interpretations

Website photos are examples only and do not guarantee a specific outcome.

These factors do not constitute “product not as described” or “unacceptable quality.”

Design Drafts, Revisions & Response Deadlines

Once a design draft is emailed:

  • The customer has 10 calendar days to respond with feasible revision requests via email
  • Failure to respond within 10 days constitutes automatic approval

Only one round of revisions is included.

  • All revision requests must be submitted together
  • Additional revisions require a paid add-on
  • Unactionable requests will prompt one final opportunity to revise

After revisions are implemented, the customer assumes responsibility for any resulting changes to flower integrity.

Design Approval & Finalization

By approving a design via email—or by authorizing PlantBox to proceed—the customer acknowledges that:

  • All prior services have been rendered
  • No refunds will be issued for completed services
  • Minor placement changes may occur during manual gluing
  • PlantBox may make reasonable substitutions or adjustments if materials are damaged

These changes do not constitute a misrepresentation of the approved design.

Project Termination & Discretion

If a customer:

  • Refuses to proceed under the agreed terms
  • Rejects unavoidable preservation outcomes
  • Makes requests outside the scope of feasible services

PlantBox may, at its discretion:

  • Proceed with the design independently, or
  • Terminate the project

Any refund determination will follow the Refund & Cancellation Policy and reflects services already rendered. No finished product is guaranteed in such cases.

Handmade Variations & Product Characteristics

Due to the handmade nature of the work:

  • Minor scratches on frames
  • Loose botanical fragments inside frames
  • Rough paper edges
  • Slight botanical matter shifts during shipping
  • Manual installation of hanging hardware

Are normal and not grounds for refunds or disputes.

Shipping & Delivery

Shipping terms, delivery risks, and insurance coverage are governed by the Refund & Cancellation Policy.

Natural Changes in Preserved Flowers and Botanicals
Due to the natural characteristics of flowers and botanicals, colors may fade, and petals or leaves may become slightly wrinkled over time. These changes are normal and do not indicate a defect or poor craftsmanship. While PlantBox takes care to preserve and display your flowers beautifully, some variation in appearance is expected as part of the natural aging process. Accordingly, PlantBox does not offer refunds, exchanges, or returns for fading, color changes, or wrinkling that occur as part of the natural aging process.

SECTION 6B – Pre-Made Products Pre-made products include retail items that are completed prior to purchase, such as framed botanical artwork, accessories, or other ready-to-ship items.

Due to the natural variation of botanical materials, pre-made products may differ slightly from photographs displayed on the website. Colors, shapes, and compositions may vary based on materials available at the time of creation. Product images are intended as general representations and not exact guarantees.

Customers are responsible for inspecting pre-made products upon delivery or pickup. Any issues, including damage or defects, must be reported within 72 hours of confirmed delivery or acceptance. Reports submitted after this timeframe may not be eligible for review, replacement, or refund.

SECTION 7 - ACCURACY OF BILLING AND ACCOUNT INFORMATION We reserve the right to refuse any order you place with us. We may, in our sole discretion, limit or cancel quantities purchased per person, per household or per order. These restrictions may include orders placed by or under the same customer account, the same credit card, and/or orders that use the same billing and/or shipping address. In the event that we make a change to or cancel an order, we may attempt to notify you by contacting the e-mail and/or billing address/phone number provided at the time the order was made. We reserve the right to limit or prohibit orders that, in our sole judgment, appear to be placed by dealers, resellers or distributors.
